The Single Biggest Advantage AI Assistants Have Been Missing
We've Been Uploading PDFs to AI Like It's 1999. Google's Gemini Gems Just Killed Static Knowledge Bases Forever
I've spent countless hours with AI assistants. I've built custom versions of them, pushed them to their limits, and coached executive teams on how to integrate them into their operations. And for all the incredible power they offer, there has been a glaring weakness, a fundamental flaw that has held them back from being truly indispensable to businesses. Until now.
We're all drowning in information. That's not new. The promise of custom AI assistants, like OpenAI's custom GPTs, was to create a personalized expert that could navigate this sea of data for us. And they are powerful. You can feed one of your company's product documents and have it answer customer questions, or provide it with your brand style guide and have it assist with marketing copy.
However, here's the catch, and it's a significant one: the moment you upload a file to a custom GPT, it becomes frozen in time. Your knowledge base is static. Think about that. How often does your product documentation get updated? How about your sales messaging or your customer success playbooks? In a living, breathing business, this information is constantly evolving. A static AI assistant becomes obsolete the moment it is created.
This is where Google's Gemini Gems come in and why I believe they represent a significant leap forward.
Gems are Google's answer to ChatGPT custom GPTs. You can create your own, tailored to specific tasks and loaded with the information they need to be effective. But they have a killer feature, one that feels almost obvious in its brilliance, yet is a game changer in practice: Gems can be connected to live Google Drive documents.
Let that sink in.
Instead of uploading a static PDF of your branding guidelines, you can point your Gem to the Google Doc that your marketing team actively uses. When they make a change, the Gem has access to the latest version. Always.
Imagine a Gem for your sales team that has access to a Google Sheet with the latest pricing and product availability. Or a Gem for your customer success team that is always current on the latest troubleshooting steps because it's linked to the same document your support engineers update.
This moves the AI assistant from a tool you have to maintain to a dynamic, ever-learning team member that constantly evolves. It's the difference between a photograph and a live video feed.
Here are a couple of powerful use cases this unlocks:
Always-On Brand Compliance: A marketing team can create a "Brand Guardian" Gem linked to the central brand guidelines Google Doc. Any employee can then ask the Gem if their copy is on-brand or if their messaging is aligned with the currently approved messaging for a new feature. There's no risk of someone using an outdated version of the guidelines.
Dynamic Sales Enablement: A sales leader can maintain a "Competitor Insights" Google Doc to stay up-to-date with the latest intel. The entire sales team can then query their Gem to get the most up-to-date talking points and counter-arguments without the leader having to constantly send out email updates.
Now, it's essential to clarify the current limitations. Currently, Gems can't take action on their own within Google Workspace. They can't automatically send an email for you or update a calendar invite. You also can't create and share Gems across your organization (yet!). That level of automation is on the horizon with something Google is calling "Workspace Flows", and when that arrives, the power of these live-data Gems will be amplified exponentially.
But even today, the ability to create an expert AI assistant that is always working with your most current information is a massive step forward. It makes AI more reliable, more useful, and frankly, more integrated into the reality of how businesses actually operate.
If you're a business leader, the question is no longer "how can we use AI?", but "how can we use AI that learns and grows with us?". With Gemini Gems, we finally have a compelling answer.
Ready to put this to the test? Take one of your most frequently updated documents and build a Gemini Gem around it. See for yourself how powerful it is to have an AI assistant that's always on the same page as your team.
